AI Workflow Automation

AI meeting recap emails, sent while the call is still fresh

Precision ISO built an AI workflow that reads your meeting, writes the recap, tracks the action items, attaches the recording, and files a summary to your document storage. Nobody types a word.

Running inside Precision ISO today. It connects to Zoom, Google Drive, and the email platform your team already uses.

Watch it work

The full workflow, start to finish

Watch a real Zoom transcript become a finished client recap email, then see the workflow itself that builds it, agent by agent.

The problem

The follow-up email nobody has time to write

After a client call, someone still has to summarize the discussion, chase down who agreed to what, dig out the recording link, and send it all before the details go cold. Most teams do this by hand. Most teams also send it two days late.

Summaries written from memory

Whoever writes the recap reconstructs the call hours later, and the technical detail your client actually needs gets lost.

Action items stuck in a notebook

Commitments made on a call live in one person's notes. Nothing tracks them, so the next meeting reopens the same topics.

Recording links buried in a portal

Finding the recording and its passcode means logging back in, copying two fields, and pasting them into every email by hand.

What your client receives

Five sections, assembled automatically

Every recap follows the same structure, built from the meeting transcript and the meeting data. You control the depth and the tone through the prompt behind it.

A subject line that matches the meeting

The workflow pulls the meeting title straight from your calendar entry, so clients recognize the email immediately and find it again later.

A summary at the depth you choose

Set it to a tight paragraph for a quick check-in, or a thorough written record for a technical discussion. The depth is a setting, not a rewrite.

Key concepts in scannable bullets

The main talking points, pulled out for readers who skip the full summary. These bullets also feed the vector database behind our upcoming question and answer bot.

A homework table of every commitment

Anywhere someone accepted an action during the call, the workflow captures it into an owner and action table. This is the section clients mention most.

The recording link and passcode

The workflow requests both from the meeting platform API and drops them into the email. Nobody copies and pastes a link again.

How it works

Five steps, and you only touch the first one

The workflow looks complex from the inside. As the end user, you submit a link or you do nothing at all. Everything after that runs on its own.

A simple trigger starts the process

Submit the meeting link through a short web form and the workflow takes over. Configure it as a webhook instead and it starts the moment your recording and transcript finish processing, with no form at all.

Your team never touches the automation itself

The workflow pulls the meeting data

It requests the meeting record directly from the platform API: date, title, attendees, the full transcript, plus the recording link and passcode it uses later in the email.

A Claude AI agent drafts the email

The agent runs a prompt we engineer around your business. That prompt sets the summary depth, the tone, and the exact structure of every section, so the output matches how you already communicate with clients.

Every part of the output is customizable

The email sends itself

The agent connects to your email platform and delivers the finished recap from whatever address you configure. No draft sits waiting for someone to review and forward it.

A second agent files a summary document

Once the recap goes out, a second Claude agent writes a meeting summary into your document storage. That archive becomes searchable knowledge instead of a transcript nobody opens.

Where it goes next

The same meeting can write your documents

A transcript holds everything a client told you: their scope, their deliverables, their timeline. Once the workflow reads that transcript, it can populate a template instead of an email.

Statements of work from recorded sales calls

Precision ISO runs this today. A discovery call ends, and the workflow maps what the client described onto our Statement of Work template, ready for review instead of ready to start from scratch.

Quotes, contracts, decks, and drafts

Anything your team rebuilds from meeting notes is a candidate. If a person reads the transcript and fills in a template today, the workflow can do that step instead.

The result

Clients put these emails to work

“My clients are very happy with these recap emails.”

Something we did not expect: clients started forwarding the recaps internally and using them to document instructions for their own teams. A follow-up email became their training reference.

Same-day follow-upThe recap goes out while the conversation is still fresh, without anyone drafting it.
Commitments stay visibleAction items and recordings land in writing, in front of everyone who attended.
A knowledge base builds itselfEvery meeting adds to a searchable archive your team can draw on later.
One process, every timeThe structure never varies with who ran the call or how busy that week got.
Questions

What teams ask before we build one

Does this only work with Zoom?

No. Zoom is the platform Precision ISO runs on, so it is the integration we built first. The workflow needs a recording, a transcript, and an API or webhook to reach them, which most conferencing platforms provide. We confirm your platform during setup before we build anything.

How much of the email can we control?

All of it. The structure, the section headings, the summary depth, the tone, and the sending address all come from configuration we set with you. Add sections, remove sections, or change how formal the writing sounds.

Do our people need to learn a new tool?

No. The most anyone does is paste a meeting link into a simple web form. Wired as a webhook, even that step disappears, and the workflow runs the moment your recording finishes processing.

What happens to our meeting data?

The workflow runs against your own accounts: your conferencing platform, your storage, your email. We scope what it can reach with you during setup, and we document those connections so your team knows exactly where meeting content travels.

Can it generate documents instead of emails?

Yes. We currently populate Statement of Work templates from recorded sales calls. Quotes, contracts, presentations, and draft articles work the same way, since they all start from a template and a transcript.

How long does it take to build?

That depends on your platforms, the documents you want generated, and how much prompt tuning your voice needs. Book a call and we will scope it against your actual workflow rather than a generic estimate.
